PensionPro 2.0 - Import Plan Cycle Data

Plan Cycle Data in PensionPro can be completed  in two ways: either a user can manually enter the information on the Plan Cycle screen or it can be imported using the Plan Cycle Data import tool.  If a user enters the  data manually and decides to import data later, the import routine will allow the user to skip or overwrite existing data.

Note: Tabs and fields will vary depending on the tier the user is on.

Manually Entering Plan Cycle Data

To manually enter Plan Cycle Data for a Plan, select the Plan from the search screen. From the Plan's General screen, click the Plan Cycles menu on the left side of the screen and complete the steps in the order shown below:

  1. Click the Add icon in the upper right corner of the Plan Cycle grid and an Add Plan Cycle pop-up will appear.
  2. In the Period Start field, input or select the start date for the period.
  3. In the Period End field, input or select the end date for the period.
  4. If applicable, select a frequency from the Frequency dropdown menu.
  5. Click the Save button.
  6. Once added, values can be edited by double-clicking the Plan Cycle record.

Editing Plan Cycle Data from Plan Details:

  1. Search for and open a Plan.
  2. Click the Plan Cycles menu on the left side of the screen.
  3. In the Plan Cycles grid, double-click the Plan Cycle Period to edit it.
  4. Click on the appropriate tab on the left of the Plan Cycle screen.
  5. Click the Edit icon to the right of the grid.
  6. Make the desired edits to the information in the pop-out menu, and click Save.

Edit Plan Cycle Data for an Annual Administration Project:

  1. Search for and open a Plan.
  2. Select (single-click) the Projects menu.
  3. Double-click the correct Annual Administration Project.
  4. Select the Plan Cycle menu on the left of the Project screen.
  5. On the left, select the appropriate menu and then click the Edit icon.
  6. Make the desired edits to the information in the pop-out menu, and click Save.

 

Importing Plan Cycle Data 

The most efficient way to update Plan Cycle Data is by importing it in bulk. Users can import Plan Cycle Data for multiple plans or multiple plan years at once using the Plan Cycle Data Power Tool.

Downloading a Blank Template

Importing the Plan Cycle Data requires that a blank Plan Cycle Data Template be exported from PensionPro following the steps below:

  1. Click Power Tools from the Navigation Panel and select Import > Plan Cycle Data.
  2. Click the More menu.
  3. Select (single-click) Download a Template.
  4. A pop-out menu will appear that will prompt the user to pick a file extension type. Upon selecting the type, select Export.

Editing the Plan Cycle Data Template 

The next step is to organize and compile the data in the  Plan Cycle Data Template. Parameters to meet in order to successfully import plan cycle data:

  • The columns for TPA Plan ID and the Period End are required fields and must be populated for the import to work.
  • The TPA Plan ID is the unique identifier used to match data in the import file with the appropriate plan in PensionPro.  The TPA Plan ID field is located in Plan Details > General.
  • The Period End column in the Plan Cycle Data Template must match a Period End for the Plan Cycle that exists for a Plan with the corresponding TPA Plan ID.

Please be sure to update list values in PensionPro to match the template before an import is attempted.

Remember, the headers and column order must match the Plan Cycle Data Template for the import to work.

Importing a completed Plan Cycle Data Template

Once a data source file has been created:

  1. Click Power Tools from the Navigation Panel and select Import > Plan Cycle Data.
  2. Follow the four-part stepper, as detailed below:

Step 1 - Options

  1. Select an option from the I want to dropdown menu.
    • Users have the option to Fill in Blank Fields, Override All Fields, or Import Data.
  2. Click the Select File button and search for/select the file to be imported. Click Open. The file will be evaluated, and the system will display an error log if the file cannot be imported as-is.
  3. Click the Next button.

Step 2 - Preview

  1. The Preview screen gives users the ability to preview data in a grid view and identify problems with the Import. Note: If changes need to be made, users may click the Plan Name hyperlink to navigate to the Plan and make any edits. Then, return to the Power Tool and click the Refresh icon to return updated data to the grid.
  2. If the data is accurate, click the Next button to proceed with the Import.

Step 3 - Review

  1. Review the information.
  2. Then, complete the data import by clicking the Execute button. Note: If there are any required changes before execution, the user can click the previous steps to return to that screen.

Step 4 - Finish

  1. The Import Plan Cycle Data Details appear on the screen. If there are any failures, an error message will display with a link to the error log.
  2. Click the Start Over button to return to the main Import screen.
    • Users may receive a message indicating that "Records were imported. However, since ftwilliam.com Integration is setup and verified, the following columns were skipped: 5500 Invited Data, Sponsor Signed Date, Admin Signed Date, DFE Signed Date, 5500 Filed Date."
