Managing Proposal Information

A Proposal is a plan design the firm has drafted on behalf of a potential client; should they accept the Proposal, it can be converted to a new Plan. The Proposal record is used to manage the details of the proposed plan. In terms of organization, it is similar to the Plan record in PensionPro. A Proposal is linked to an Opportunity; if multiple Proposals are offered for the prospective client to choose from, they are all linked to the same Opportunity.

Adding a Proposal

 

To add a new Proposal:

 

  1. From the navigation menu on the left, select Add Data > Proposal. The corresponding window displays.
  2. Search for and select the Opportunity the Proposal should be linked to.
  3. Enter a Proposal Name.
  4. Select a starting Status.
  5. Select the Plan Type of the proposed Plan.
  6. Enter any other Proposal details, then select Save.

 

Proposals can also be added from the Opportunity tab > Proposals view by selecting Addadd.png at the top-right of the grid.

 


 

Views on the Proposal Tab

 

The Views panel on the left side of the Proposal tab separates Proposal information into a selection of categories. The Proposal tab contains the following views: General, Services, Investments, Fees, People, To-Dos, Files, Interactions, and Notes. The aim of this guide is not to provide an exhaustive list of Opportunity fields and properties. However, any items of particular note are covered in each view's section, below.

 


 

General

 

The General view contains the information that was entered during Proposal creation. Use Editedit.png at the top-right of the grid to make changes to this information.

 

Fields Displayed:

  • Name: The name of the Proposal.
  • Status: This is a dropdown list that pulls from the Proposal Status List Value. Select the status to identify the progress of the Proposal from creation through closing.
  • Date Proposed: This is a date field used to track the preparation of the Proposal.
  • Service Authorization Sent On: This is a date field used for tracking and follow-ups. The date the Proposal was sent to the Prospect or their referral should be entered here.
  • Reason Won\Lost: This is a dropdown list being pulled from the Proposal Result Reason List Value. This reason can help identify trends in evaluating why new business is won or lost.
  • Probability of Closing: This is a numeric field used to enter the probability of closing the Proposal.
  • Assigned To: The Employee that the Proposal is assigned to.
  • Closed On: This is a date field used to show the data that the Proposal was closed on. When a date is entered in this field, the Proposal will no longer be viewable on the Scoreboard. Closed Proposals can still be located by using the search feature in PensionPro.

 


 

Services

 

The Services view records the services and responsibilities that will be performed for the proposed plan. These are similar to Services Provided for Plans, and can be converted after the Proposal is accepted.

Fields Displayed:

  • Service: This is a dropdown list being pulled from the Proposal Services Proposed List Value. This field is used to identify what specific services will be included in the proposed Plan.
  • Description: This is a text field used to provide more detail about the service proposed.

 


 

Investments

 

The Investments view records the proposed investment providers for the proposed plan. These can be converted after the Proposal is accepted.

 

Use Addadd.png at the top-right of the grid to add a new Investment Provider, or hover over any entry to display the Editedit.png and Deletedelete.png options on the right-hand side.

 

Fields Displayed:

  • Provider: This required field is a dropdown list being pulled from the Plan Provider List Value. Select the name of the investment firm which will hold the assets of the proposed Plan.
  • Investment Model: This field is a dropdown list being pulled from the Investment Type List Value. Choose the type of investment model associated with these assets.
  • Custodian: This field is a dropdown list being pulled from the Investment Custodian List Value. Choose the custodian of the proposed investment account.
  • Direction: This field is a dropdown list being pulled from the Investment Direction List Value. Choose how the investment account will be directed.
  • Current Assets: This numeric field is where the current assets for the investment will be entered. This field is used to identify the total assets transferring to the new investments for fee determination and recordkeeping.
  • Annual Flow: This numeric field is where the annual flow of the investment is entered. This field is used to identify the estimated net annual additions to the Plan's assets.
  • Basis Points: This numeric field is where the amount basis points for the investment are entered. This field assists in estimating potential revenue earned on the assets.
  • Participant: This numeric field is where the participant count for the proposed Plan is entered. This field is used to estimate potential revenue based on participants.

 


 

Fees

 

The Fees view records the costs for the proposed plan. These can be converted after the Proposal is accepted.

 

Use Addadd.png at the top-right of the grid to add a new Fee Schedule, or hover over any entry to display the Editedit.png and Deletedelete.png options on the right-hand side. Double-click a Fee Schedule entry in the grid to view individual Fees.

Fields Displayed:

  • Name: This field is a dropdown list being pulled from the available Fee Schedule Templates. Enter any applicable fee schedules for this plan.
  • Description: This text field further describes the fee schedule or notations concerning it.

 


 

People

 

The People view provides the names of Contacts associated with this Proposal, as well as their role in the sales process. These are similar to Plan Contact Roles and can be converted after the Proposal is accepted.

 

Use Addadd.png at the top-right of the grid to add a new Contact Role , or hover over any entry to display the Editedit.png and Deletedelete.png options on the right-hand side. Double-click a Role entry in the grid to open the individual's Contact tab.

 

Fields Displayed:

  • Name: This field is a text field that pulls from the list of active Contacts. Enter the first few letters of the Contact's name and a list of matching Contacts will display for selection.
  • Role: This field is a dropdown list that pulls from the Proposal Sales Contact Role List Value. Select the Role to define the Contact's responsibility in the proposed Plan.
  • Main Contact: This checkbox indicates if the Proposal Contact Role is the Main Contact for the Proposal.

 


 

To-Dos

 

The To-Dos view displays any To-Do items that relate to the Proposal. These are reminders or directions that assist in tracking and completing unexpected work.

 

Use Addadd.png at the top-right of the grid to add a new To-Do, or hover over any entry to display the Editedit.png and Deletedelete.png options on the right-hand side. For more information, refer to the article To-Dos.

 


 

Files

 

The Files view contains any stored documents related to this Proposal.

 

Use Addadd.png at the top-right of the grid to add a new file, or hover over any entry to display the Editedit.png and Deletedelete.png options on the right-hand side. Double-clicking a File downloads it to the user's device.

 

Archived Files are hidden from the Files views by default; to view these records, select Moremore_options.png > Show Archived.

 

If using PensionPro's DocuSign integration, uploaded Files can be sent to contacts for E-Signature purposes. To do so, click to select the File in the grid, then select Moremore_options.png > Send E-Signature Document. This feature is covered more extensively in the article DocuSign Integration.

Interactions

 

The Interactions view records conversations and communications that are related to the Proposal. Double-clicking an entry within the grid opens the Interaction in a new tab.

 

Use Addadd.png at the top-right of the grid to add a new Interaction, or hover over any entry to display the Editedit.png and Deletedelete.png options on the right-hand side.

Notes

 

The Notes view is used for recording any miscellaneous information that pertains to the Proposal. This could be confirmation of communications, plan design details, or simply information that doesn't fit anywhere else.

 

Use Addadd.png at the top-right of the grid to add a new Note, or hover over any entry to display the Editedit.png and Deletedelete.png options on the right-hand side. To view archived Notes, select Moremore_options.png > Show Archived.

Frequently Asked Questions

 

  • Can closed Proposals be reopened?
    Yes; a closed Proposal can be reopened by removing its Closed On date from the General view.
