PensionPro 2.0 - Adding, Editing, and Deleting Company Details

The Company Details screen is where users can view and edit company information that is linked to either Contacts or Clients. Company Details are broken into multiple menus which include General, Addresses, Numbers, and Contacts.

 

Tier Availability: Track, Team, Core, Essential, Premium, Business

Security Rights Required: Edit/Merge Company Names

 

Menu:

 

General 

The Company Details General menu allows users to view/edit the existing Company name that resides within the Company Information grid. Users can also view if the Company listed is linked to a Client record.

Merge Company Records: The merge function allows for the merging of two (2) separate companies. To perform, select the More icon > Merge  and then enter the name of the target company and select it. Click Save to complete the request.

 

Edit a Company Name

  1. On the Company General menu, click the Edit icon in the upper right corner of the Company Information grid. An Edit Company pop-up will appear.
  2. Edit the text in the Name field for the company.
  3. Click Save. Any linked Client records will be updated to the new name as well.

 

Delete a Company Name

Security Rights Required: Maintenance

 

To delete a Company Name, the selected Company Name must not be linked to a Client record.

  1. On the Company General menu, click the Edit icon in the upper right corner of the Company Information grid. An Edit Company pop-up will appear.
  2. Place a checkmark in the Marked for Deletion checkbox.
  3. Click Save.
  4. From the Navigation Panel, click Maintenance > Data Deletion
  5. The Data Deletion Manager will appear. 
  6. Select Company Names from the Views Panel. 
  7. The Company to be deleted will appear in the data deletion grid. 
  8. Hover over the Company Name and click the Delete icon.
  9. A pop-up warning will appear asking “Are you sure you want to delete this company PERMANENTLY?” 
  10. Click Yes to confirm deletion. 
  11. The Company has been deleted.

Note: A company cannot be deleted if there is an address and/or phone number that is linked. The address and/or phone number must be deleted from linked contacts or clients first.

 

Addresses 

The Company Details Addresses menu provides the related Addresses associated with Companies.

 

Add an Address

  1. On the Company Addresses grid, click the Add icon in the upper right corner of the Addresses grid. An Add Company Address pop-up should appear.
  2. Enter the required address information and select an address type from the Type dropdown. 
    • Address Type is a List Value. If an Address Type is not available, click MaintenanceList Values > General > Address Type. Click the Add icon in the upper right corner of the grid and enter the new Address Type List Value.
  3. Click Save when complete.

 

Edit an Address

  1. On the Company Addresses grid, hover over an existing Address to highlight it then click the Edit icon to the right of the Addresses grid. An Edit Company Address pop-up should appear.
  2. Update the appropriate address related fields.
  3. Click Save when complete.

 

Delete an Address

  1. On the Company Addresses grid, hover over an existing Address to highlight it and click the Delete icon. 
  2. Click Yes to confirm the deletion.

Note: Linked addresses cannot be deleted.

 

Numbers 

The Company Details Numbers menu provides phone number information for Contacts by Number and Number Type such a Telephone, Cell, Fax, etc.

 

Add a Number

  1. On the Company Numbers grid, click the Add icon in the upper right corner of the Numbers grid. An Add Number pop-up will appear.
  2. Enter the phone number and select a number type from the Type dropdown. 
    • Number Type is a List Value. If a Number Type is not available, click MaintenanceList Values > General > Number Type. Click the Add icon in the upper right corner of the grid and enter the new Number Type List Value.
  3. Click Save when complete.

 

Edit a Number

  1. On the Company Numbers grid, hover over an existing Number to highlight it and click the Edit icon. An Edit Company Number pop-up will appear.
  2. Edit the appropriate Number information.
  3. Click Save when complete.

 

Delete a Number

  1. On the Company Numbers grid, hover over an existing Number to highlight it and click the Delete icon. 
  2. Click Yes to confirm the deletion.

Note: Linked numbers cannot be deleted.

 

Contacts 

The Company Details Contacts menu displays all of the Contacts associated with the particular Company Name that has been selected.

 

Add a Company Contact

  1. On the Company Contacts screen, click the Add icon in the upper right corner of the Contacts grid. An Add Contact pop-up will appear.
  2. Enter the First and Last Name of the Contact along with any other applicable fields within the menu.
  3. Click Save when complete.

 

Edit a Company Contact

  1. On the Company Contacts screen, double click a Contact's name from the grid to open their contact record.
  2. Click the Edit icon in the upper right corner of the grid and edit any relevant information for the Contact.
  3. Click Save when complete.
