When a Plan in PensionPro is linked to its counterpart in ftwilliam.com, PensionPro has the ability to retrieve a selection of plan-related documents from ftwilliam.com—such as agreements, summary plan descriptions, and policies and procedures—and save them directly into Plan files. This article will demonstrate how to set up this feature and begin downloading documents from ftwilliam.com.

FTW Integration

First, this feature cannot be used without an active integration with ftwilliam.com. For instructions on enabling and managing this integration, refer to the article ftwilliam.com Integration - Setup & Preferences.

 

List Values

Secondly, there are a number of different document types that can be retrieved from ftwilliam.com. These may differ from the File Types used by the firm. To ensure that PensionPro can categorize the incoming file without any additional input, FTW document types must be mapped to one of the firm's existing File Types. To do so:

 

  1. Navigate to MaintenanceList Values. The corresponding tab opens.
  2. In the Views list on the left, expand CoreFile Types and select the Plan Document view. The grid will display all File Types that can be applied to Legal Plan Files.
    • The ftwilliam.com column shows which (if any) FTW document is currently mapped to a File Type.
  3. Hover over a File Type in the grid and select Editedit.png on the right-hand side. The Edit Plan Document window displays.
  4. Use the ftwilliam.com field to select the desired FTW document type to map.
  5. Select Save.

 

While it is not necessary to map each ftwilliam.com document type, it cannot be downloaded if it is not matched with a corresponding PensionPro File Type. Each of the following FTW types must be mapped before it can be used:

  • Basic Plan Document
  • Funding Policy
  • IRS Opinion Letter
  • Joinder Agreement
  • Loan Procedures
  • Plan Document
  • Plan Highlights
  • Plan Highlights - Spanish

Plan Prerequisites

The following items must be true for a Plan before Document Download will be available:

 

 

Important: Due to the way information is transferred between PensionPro and ftwilliam.com, the Ftwilliam Document Checklist must be set prior to linking the Plan to FTW. Additionally, the checklist cannot be selected directly on FTW; it must be done in PensionPro. If a correction needs to be made, it is best to unlink the plans, update the checklist in PensionPro, and then re-link.

 

 


 

Using Document Download

 

During the Document Download process, one or more documents from ftwilliam.com will be retrieved and saved to the Legal Plan Files of the given Plan. To do this:

 

  1. Open the desired Plan in a new tab and select the Legal Plan Files view (in the Files category) from the views list on the left. The file grid displays.
  2. Select Moremore_options.pngPull from ftwilliam.com. The corresponding window displays.
  3. A number of dropdown fields are presented, each of which is a category of document types. Use these dropdowns to select the documents to be obtained; multiple document types can be selected per category.
  4. When finished, select Pull.

 

Upon completion, the request will be placed into a queue while the documents are retrieved. PensionPro will send two emails:

 

  • One to confirm that the request has been queued.
  • Another when the download is complete.

 

Once the second email has been received, the downloaded files can be found on the Legal Plan Files view. All downloaded documents save to .rtf format.
