Importing Plan Contact Roles (Desktop)

The population of Plan Contact Roles into PensionPro requires that a pre-formatted excel data sheet be completed for import. Any contacts listed on the Plan Contact Role Import Template must be already set up as a Contact in PensionPro manually or through the Contacts Import Template.

This import is only for new information. It will not overwrite established Plan Contact Roles.

To Import Plan Contact Role:

  1. Click on Power Tools > Imports > PensionPro Setup > Plan Contact Role.
  2. A browser will open. Click on the Download a Template button.
  3. Using the empty template organize and compile the data for import.
    • Only the First and Last Name of the Contact should be entered in the Contact Name field of the Plan Contact Role Import Template.
    • Multiple Contacts can have the same Role on the same Plan.
    • A single contact can have multiple roles on multiple Plans.
  4. Import the data sheet in PensionPro by clicking on Power Tools > Import > PensionPro Setup > Plan Contact Role. This will open the browser to the Plan Contact Role Import page.
  5. Click on the Select a Spreadsheet button and select the file for import.
  6. Click on the Upload button to import the data.
  7. Any errors encountered in importing the data will appear when the data is submitted for Import. Once all data has been scrubbed and the errors corrected, the import will show as completed once processed. All data must be formatted correctly before the import will complete.

 

Instructions Tab

  • A color-coded Column Legend with instructions. These color-coded columns in the spreadsheet(s) allow the user to see what fields are required, related, recommended, or not required.
  • This tab should not be edited or deleted prior to import. Doing so will cause the import to not function properly.

Plan Contact Roles Tab

  • Required fields: Plan Name, Plan Contact Role Name, and Contact First and Last Name
  • List Values: Plan Contact Role Name
  • *Note: List Values need to be created in Maintenance > List Values before importing data into PensionPro.

Contact List Tab

  • Provides a list of active Contacts from the user's system to assist with completing the Plan Contact Roles tab. This is a reference only tab and does not need to be updated.

Plan List Tab

  • Provides a list of Plans from the user's system to assist with completing the Plan Contact Roles tab. This is a reference only tab and does not need to be updated.

Plan Contact Role List Tab

  • Provides a list of Plan Contact Roles available in the system to assist with completing the Plan Contact Roles tab. This is a reference only tab and does not need to be updated.

 

Checklist to avoid errors when importing:

  1. Plan names exactly match plan records currently entered in PensionPro.
  2. All role names entered were entered as active Plan Contact Role List Values in PensionPro.
  3. All contact first and last names listed are for contacts that were added in PensionPro.
  4. Contact first and last names match the first and last name of the contact record entered in PensionPro.
  5. If two contacts have the same first and last name, remove them from the template as they will need to have their roles assigned manually in PensionPro.
  6. Duplicate Plan Contact Role links are not entered on the sheet.
  7. Roles were not previously entered in PensionPro.
  8. Enter Yes in the Please CC field if the contact role should be CC'd on any correspondence for the plan.
  9. Enter Yes in the Show on PSL field if the contact's information and role should appear on PlanSponsorLink for the contact's step of Year End Data Collection.
