The initial population of Employer Data into PensionPro requires that a preformated excel data sheet be completed for import. Employer Data tracks the Plan Sponsor’s firm information for each plan year. This includes information such as the EIN, Fiscal Year End, Entity Type, Principals, Family Relationships and Other Businesses information. The Employer Data Import Power Tool allows users to import new Employer Data records for multiple clients at the same time.

Prior to importing Employer Data, all List Values entered on the template must be entered as List Values in PensionPro without trailing spaces.
To Import Employer Data Information:
- Access the import sheet by clicking on Power Tools > Import > PensionPro Setup >Employer Data.
- A browser will open. Click the Download a Template button.

Using the instructions tab of the template, organize and compile data for import.
- The Employer Data tab is the only required tab if the information in subsequent tabs is not currently available.
- Employer Data records for multiple periods cannot be entered for the same client on a single import template.
- Import the data sheet in PensionPro by clicking on Power Tools > Import > PensionPro Setup > Employer Data. This will open a browser to the Import Employer Data support page. Click the Select a Spreadsheet button and browse to the datasheet that has been saved.
- Click the Upload button to import the populated spreadsheet.
- Any errors encountered in importing the data will appear when the data is submitted for Import. Any changes that need to be made should be changed and then saved before trying to import the data again. Once all data has been scrubbed and the errors corrected, the import will show as completed once processed. All data must be formatted correctly before the import will complete.
Instructions Tab:
- A color-coded Column Legend with instructions. The color-coded columns in the spreadsheet allow the user to see what fields are required, related, recommended, or not required.
- The Instructions tab should not be deleted or removed prior to importing. This will cause the import to not function properly.
The Employer Data Tab:

- Employer Identification Number has been changed to EIN
- A new required field has been added for Plan Year Start (mm/dd/yyyy)
Column Details
- Client ID: The ID of the client in PensionPro. This is a required column and must contain data for each entry.
- Client Name Column is the name of the client in PensionPro. This is a required column and must contain data for each entry.
- EIN: The EIN for the client. It must be 9 numbers in length.
- Client Fiscal Year End Month: The month portion of the client’s fiscal year-end. It must be a 1 or 2 digit number. This is a required column and must contain data for each entry.
- Client Fiscal Year End Day: The day portion of the client’s fiscal year-end. It must be a 1- or 2-digit number. This is a required column and must contain data for each entry.
- Plan Year End: The Plan Year End date the Employer Data record is for. The format of this field is 'MM/DD/YYYY'. This is a required column and must contain data for each entry.
- Entity Type: The type of entity that the client is listed as. This value comes from the Entity Type list value in PensionPro and can be customized.
- NAIC Business Code: The Business Activity Code for the client.
- Payroll Provider: The Provider that the client uses for processing payroll.
- Payroll Frequency: The Payroll Frequency that client uses. This value comes from the Payroll Frequency list value in PensionPro and can be customized.
- Plan Year Start: The format of this field is 'MM/DD
The Principals Data Tab:
If Principals Data is entered for a client, the client's employer data information must be entered on the Employer Data tab.

Column Details
- Client ID: The Client ID in PensionPro. This is a required column and must contain data for each entry.
- Client Name: The name of the client in PensionPro. This is a required column and must contain data for each entry.
- First and Last Name: The Name of the principal for the company. This is a required column and must contain data for each entry.
- Title: The Officer Title type of the principal. This value comes from the Officer Titles list value in PensionPro and can be customized. This is a required column and must contain data for each entry.
- Is Officer: Displays whether the principal listed is an Officer. This is a required column and must contain a Yes or No answer for each record entered.
- Ownership %: Displays the percentage of Ownership for the principal listed. This column will display up to 2 decimal places for ownership, if applicable. This is a required column and must contain data for each entry.
The Family Relationships Data Tab:
If Family Relationships Data is entered for a client, the client's principals data information must be entered on the Principals Data tab.

Column Details
- Client ID: The Client ID in PensionPro. Any client that is entered on this worksheet must have an entry on the principals data worksheet as well. This is a required column and must contain data for each entry.
- Client Name: The name of the client in PensionPro. Any client that is entered on this worksheet must have an entry on the principals data worksheet as well. This is a required column and must contain data for each entry.
- First and Last Name: The name of the family member that is related to a principal. This is a required column and must contain data for each entry.
- Relationship to Principal: The relationship of the family member to the principal. This is a required column and must contain data for each entry.
- Name of Principal Related To: The name of the principal that the family member is related to. Any principal that is entered on this worksheet must have an entry on the principals data worksheet and the names must match exactly for the data to import. This is a required column and must contain data for each entry.
The Other Businesses Data Tab:
If Other Businesses Data is entered for a client, the client's employer data information must be entered on the Employer Data tab.

Column Details

- Client Name: The name of the client in PensionPro. Any client that is entered on this worksheet must have an entry on the employer data worksheet as well. This is a required column and must contain data for each entry.
- EIN: The EIN for the client. It must be 9 numbers in length. This is a required column and must contain data for each entry.
- Other Business Legal Company Name: The legal entity type for the other business listed. This is a required column and must contain data for each entry.
- Address: The address for the other businesses listed.
- City: The name of the city for the other business's address. This column is only required if you have elected to enter address information for the other business.
- State: The state abbreviation for the other business's address. This column is only required if you have elected to enter address information for the other business.
- Zip Code: The zip code for the other business's address. It must be a 5 or 9 digit number, it must be formatted to include leading zeros and may include dashes. This column is only required if you have elected to enter address information for the other business.
- Phone Number: The phone number for the other business.
- Entity Type: The type of entity for the other business listed. This value comes from the Entity Type list value in PensionPro and can be customized. This is a required column and must contain data for each entry.
- Qualified Plan Sponsored: Displays whether or not the other business sponsors a plan. This is a required column and must contain a Yes or No answer for each plan entered.
- Has Employees: Displays whether or not the other business listed has employees.
The Other Owners Data Tab:
If Other Owners Data is entered for a client, the client's other businesses data information must be entered on the Other Businesses Data tab.

- Other Business Legal Company Name: The legal entity name of the other business. Any business that is entered on this worksheet must have an entry on the other businesses data worksheet and the names must match exactly for the data to import. This is a required column and must contain data for each entry.
- Other Owners Name: The name of the other owner. This is a required column and must contain data for each entry.
- Ownership Percentage: Displays the percentage of ownership that the principal has in the company. For each company, if ownership is entered, it must sum 100% between all principals. This column will display up to 2 decimal places for ownership, if applicable. This is a required column and must contain data for each entry.
Checklist to avoid errors when importing:
- Client ID and Client Names match Client records previously entered in PensionPro
- Hyphens are removed from the EIN entries
- Entered EIN data is 9 digits and forward '0' is present when necessary
- All required fields are entered
- Name of the Principal is entered and is less than 50 characters
- Officer Status is either 'Yes' or 'No' for each Principal entry
- The Principal's ownership is entered for each record and entered in the number format
- Principal name matches a Principal entered on the Principal's tab for the client listed
