Maintaining Opportunity Details

Opportunities represent new companies that a firm is interested in bringing on as a new client. The Opportunity Details page is where users can track general information and Proposals for Opportunities.

The Opportunity screen is divided into the Home, Proposals, To-Dos, Files, Interactions, and Notes tabs. A description and function for each of these tabs can be found below.

 

Home 

The Opportunity Details Home tab provides general information about an Opportunity.

Add\Edit\Close\Delete: 

To Add an Opportunity, simply select Save & Add Opportunity in the save process of adding a Prospect or click on the Add button on the Opportunities Tab of the Prospect. Complete all required fields as noted at the bottom of the slider in both methods and save. 

To Edit select the Opportunity from the Opportunities Tab of the Prospect by single clicking on it to activate the Edit button and click on it.  Updated the information and click save.

To Close an Opportunity, click the Edit button and enter a date in the Closed On field. This will also close out any associated Proposals and remove them from the Scoreboard.

To Delete, select the Opportunity from the Opportunities Tab of the Prospect by single clicking on to activate the Delete button and click on it.  Confirm the request to delete the Opportunity. If the Opportunity is not linked to a Prospect, the user cannot delete the Opportunity. Instead, the user can close the Opportunity.

Fields Displayed:

Name:  This is the name of the opportunity.

Proposed Service Effective On:  This is the date the services for the opportunity are to commence.

Start Date:  This is the date the opportunity was started.

Sales Referral Source:  This is the source of the opportunity.  These values come from the Proposal Sales Referral Source List Value.

 

Proposals

The Proposal tab provides a list of Proposals associated with an Opportunity.

Add\Edit\Delete: 

To Add a Proposal, simply select Save & Add Proposal in the save process of adding an Opportunity or click on the Add button on the Proposals Tab of the Opportunity. Complete all required fields as noted at the bottom of the slider in both methods and save. 

To Edit select the Proposal from the Proposals Tab of the Opportunity by single-clicking on it to activate the Edit button and click on it.  Updated the information and click save. Proposals can be opened by double-clicking on the Proposal record.

To Delete, select the Proposal from the Proposals Tab of the Opportunity by single-clicking on the record to activate the Delete button. Next, click on the Delete button.  Confirm the request to delete the Proposal.

Fields Displayed:

Name | Text | REQUIRED | Enter the name of the Proposal to be associated with the Opportunity.  | Used to identify the Proposal.  The system will default to the name of the Opportunity.  It is recommended to include other identifiers such as the type of Proposal in the name as well for clarification from other Proposals on the scoreboard for the same Opportunity.  Such as 401(k), DB.  A Proposal is a plan or service being proposed.

Plan Type | Dropdown List Pulling from the Proposal Plan Type List Value | REQUIRED Enter the type of Plan up for proposal. | Used to identify the type of Plan.  Proposals become plans in PensionPro when the business is sold.

Started On | Date | The date this Proposal record was started.

Closed On | Date | The date this Proposal record was closed either through a sale of new business or a lost sale. 

Status | Dropdown List Pulling from the Proposal Status List Value | REQUIRED Enter the status of the Proposal  | Used to identify the status of the Proposal in the sales process. Helpful in tracking the Proposal for follow-up purposes.

Closed On | Date | Enter the date this proposal record was closed either through a sale of new business or a lost sale. WHEN A DATE IS ENTERED IN THIS FIELD, THE PROPOSAL WILL NO LONGER BE VIEWABLE ON THE SCOREBOARD

 

To-Dos

The To-Dos tab provides general information about all To-Dos associated with the Opportunity.

Files

The Files tab displays the files associated with the Opportunity.

To Add | To add a File click on the Add button on the Files Tab of the Prospect. Complete all required fields as noted at the bottom of the slider and save. 

To Edit | To edit, select the File from the Files Tab of the Prospect by single clicking on it to activate the Edit button and click on it.  Update the information and click Save. 

To Delete | To delete, select the File from the Files Tab of the Prospect by single clicking on to activate the Delete button and click on it.  Confirm your request to delete the File.

To Archive | Click once on the Plan File to highlight it. This will enable the Archive button to the right of the grid. Click the Archive button. The File will move the Archived Files Grid. 

Users can access archived files for each File tab by clicking on the Show only Archived checkbox at the bottom right-hand corner of the screen. Users can edit an archived file and change the archived status to bring the file back to the regular grid to view.

Users can archive files to organize the Files tab of Plan Details, hiding the file from the active grid.

To Download | Users can download files from the grid by double-clicking the file or highlighting a file and clicking the Download button.

Downloaded files will appear in the File Bin which appears in the left corner of any screen in PensionPro. Users can choose to Open, Save, or Delete a file from the File Bin. Deleting a file from the File Bin does not delete the file from PensionPro. It will just delete it from the File Bin.

Fields Displayed:

Type: The type of file - Dropdown List Pulling from Opportunity File Type List Value.

Title: The title of the file.

Description: An additional description of the file for reference.

Created On: Date the file was added to the proposal.

 

Notes

Security Right Required:  Delete Notes, Maintenance - deletion only

The Opportunity Details Notes tab provides general information about all notes associated with this Opportunity.
