Maintaining Prospect Details

A Prospect is a contact or company that is a potential client or vendor that has not moved into the proposal/opportunity stage of the sales process yet.

Prospect Details - Home 

The Prospects Details Home tab provides general information about your prospect.

Add/Edit:  Prospects are added through the Data Menu\Add Prospect; Edit from Prospect Details Home Tab by click the Edit button and updating.

Fields Displayed:

Company Name | Text | REQUIRED | In this field you should enter the company name of the prospect. | Used to distinguish the prospect and will become the client name when the case is sold. It is HIGHLY RECOMMENDED this Company link ties the prospect record to the company record used with contact records, addresses and phone numbers.

Category |  Dropdown List Pulling from the Prospect Category List Value  | REQUIRED | In this field you should enter the categorization of the prospect in the sales process. | Used to categorize the prospect through the sales process.

Description | Text | In this field you should enter additional tracking or identification information for the prospect. | Used to further identify the prospects from others in the sales process.

Assigned To |  Dropdown List Pulling from the Employee List | REQUIRED | Enter the Employee that the prospect is assigned to in SalesPitch. To populate this dropdown, begin typing in the name. The dropdown will produce any matching results that exist in PensionPro. | Used to identify the employee in your firm responsible for this prospect.

Location | Dropdown List Pulling from the Locations for your Firm | REQUIRED | Used to identify the location responsible for this prospect.

Closed On | Date | Enter the date this prospect record was closed either through a sale of new business or a lost sale. WHEN A DATE IS ENTERED IN THIS FIELD, THE PROSPECT WILL NO LONGER BE VIEWABLE ON THE SCOREBOARD.

 

Prospect Details – Opportunities 

The Prospect Details Opportunities tab provides general information about all Opportunities associated with this Prospect.

Add\Edit\Delete:  To Add an Opportunity, simply select Save & Add Opportunity in the save process of adding a Prospect or click on the Add button on the Opportunities Tab of the Prospect. Complete all required fields as noted at the bottom of the slider in both methods and save. 

To Edit select the Opportunity from the Opportunities Tab of the Prospect by single clicking on it to activate the Edit button and click on it.  Updated the information and click save. DOUBLE CLICK ON THE OPPORTUNITY TO OPEN IT.

To Delete, select the Opportunity from the Opportunities Tab of the Prospect by single clicking on to activate the Delete button and click on it.  Confirm your request to delete the Opportunity.

Fields Displayed:

Title: This is the title of the opportunity.

Start Date: This is the start date of this opportunity.

 

Prospect Details – People

The Prospect Details People tab provides the names of contacts associated with this Prospect including their Sales Contact Role and information to further describe their relationship to the Prospect.

Add\Edit\Delete: To Add an association of an existing Contact record to the Prospect, click on the Add button on the right side of the screen. Enter the Contact's Name into the dropdown and select it when it displays to populate the field. Then select a Sales Contact Role from the Role dropdown for the Contact and enter a description further defining their relationship to the Prospect, if applicable, and save.

To Edit an existing Contact's association, select it by single clicking on it on the grid display and then clicking the Edit button.  Modify the record and save to record. DOUBLE CLICK ON THE CONTACT TO OPEN IT TO EDIT THE CONTACT RECORD.

To Delete a Contact’s association with this Prospect, select it by single clicking on it and then click the Delete button and confirm.

Fields Displayed:

Name: This is the full name of the Contact.

Role: This is the Sales Contact Role for the Contact. It is selected when the Contact was associated with the Prospect.

Description: This is a description of the relationship of the Contact with the Prospect.  This field further describes his/her role with the Prospect.

 

Prospect Details – To-Dos 

The Prospect Details To-Dos tab provides general information about all To-Dos associated with this Prospect.

Add\Edit\Delete:  To Add a To-Do click on the Add button on the To-Dos Tab of the Prospect. Complete all required fields as noted at the bottom of the slider in both methods and save. Adding a To-Do from this tab will automatically associate it with the Prospect.

To Edit select the To-Do from the To-Dos Tab of the Prospect by single clicking on it to activate the Edit button and click on it.  Updated the information and click save. DOUBLE CLICK ON THE TO-DO TO OPEN IT.

To Delete, select the To-Do from the To-Dos Tab of the Prospect by single clicking on to activate the Delete button and click on it.  Confirm your request to delete the To-Dos.

Fields Displayed:

Assigned To: The name of the employee assigned to this To-Do item.

Title: The name of the To-Do.

Description: A brief description of the To-Do.

Status: This is the status of the To-Do.

Progress:  This is the percentage complete of this To-Do. 

 

 

Prospect Details - Files 

The Prospect Details Files tab displays the files associated with your prospect.

To Add | To add a File click on the Add button on the Files Tab of the Prospect. Complete all required fields as noted at the bottom of the slider  and save. 

To Edit | To edit select the File from the Files Tab of the Prospect by single clicking on it to activate the Edit button and click on it.  Updated the information and click save. DOUBLE CLICK ON THE FILE TO DOWNLOAD AND OPEN FROM THE FILE BIN.

To Delete | To delete select the File from the Files Tab of the Prospect by single clicking on to activate the Delete button and click on it.  Confirm your request to delete the File.

Fields Displayed:

Type: Dropdown List Pulling from Prospect File Type List Value - The type of file that is being associated with the prospect. 

Title: The title of the file. 

Comment:  An additional description of the file for reference. 

 

Prospect Details – Notes

The Prospect Details Notes tab provides general information about all notes associated with this Prospect.

Security Right Required:  Delete Notes, Maintenance - deletion only

Add\Edit\Delete:  To Add a Note click on the Add button on the Notes Tab of the Prospect. Complete field information as desired and save. 

To Edit select the Note from the Notes Tab of the Prospect by single clicking on it to activate the Edit button and click on it.  Updated the information and click save. DOUBLE CLICK ON THE NOTE TO OPEN IT.

To Delete, select the Note from the Notes Tab of the Prospect by single clicking on to activate the Delete button and click on it.  Confirm your request to delete the NOTE. Deleting notes is a preference setting in the system. Notes can be archived to remove them from the standard screen view.

Fields Displayed:

Note:  This is note concerning the prospect. 

Category: This is the note category used to describe the type of note - Dropdown List Pulling from Note Category List Value

Date: The date the note was created.

Created by: The name of the employee who created this note.
