Using the Event Drilldown Feature

When viewing the Events dashboard, users can view the Plans, Complete and Remaining counts for an Event. This is where the user can verify that their plans are configured correctly and have projects launched with Tasks that are tagged per the Event Configuration. Users can click on the Plans, Complete, and Remaining counts of an event to drill down and view the individual plans and Tasks that make up the counts displayed on the Events Dashboard.

As Events are launched, they can be viewed on the Events tab of the Event Manager. The Events grid displays counts for Plans, Complete, and Remaining. These counts are based on the Period End of the project and the Event Configurations that dictate the business rules for the Event. For more information on Event Configurations please open the article Creating Event Configurations. 

  • Plans: The count displayed is the number of plans that adhere to the Event Configuration rules for this event. For a plan to be counted here:
    • For All Period Types
      • The Plan Type on the Plan Details screen must be included in the Event Configuration Plan Type selections.
      • The Services Provided for the plan must also be included in the Services Provided section of the Event Configuration. If a plan doesn’t have any services provided, the Event Configuration must include the “Plans without Services Provided” option if the user wants to include the plan in the count.
    • For Annual Period Types
      • Direct match of the Period End to a Plan Cycle Period End.
      • Exclude Plans that have a Terminated On date prior to the Period End of the Event.
      • Exclude Plans that have an effective date after the Period End of the Event.
      • The Safe Harbor status on the Plan Cycle for the period listed must be included in the Safe Harbor section of the Event Configuration.
    • For Semi-Annual Period Types
      • Return the plans that have a Plan Cycle period end that matches the given period end +6 months.
      • Exclude Plans that have a Terminated On date prior to the Period End of the Event.
      • Exclude Plans that have an effective date after the Period End of the Event.
      • The Safe Harbor status on the Plan Cycle for the period listed must be included in the Safe Harbor section of the Event Configuration.
    • For Quarterly Period Types
      • Return the plans that have a Plan Cycle period end that matches the given period end + 3 months, + 6 months, and + 9 months.
      • Exclude plans that have a Terminated On date prior to the Period End of the Event.
      • Exclude plans that have an effective date after the Period End of the Event
      • The Safe Harbor status on the Plan Cycle for the period listed must be included in the Safe Harbor section of the Event Configuration.
  • Complete: This count displays the number of tagged Tasks completed for plans that are linked to the Event Configuration.
    • The Task must be tagged to the Event Configuration and the plan must be included in the Event Configuration to appear in this count.
  • Remaining: The count of the number of Tasks that have not been completed and are linked to the Event Configuration.
    • For a Task to be counted here, the Project with the Event-linked must be launched for the plan for the period outlined in the Event.
    • The plan must also adhere to the Event Configuration rules for Plan Type, Services Provided, and Safe Harbor. 

Verify Counts:

Users should verify their counts to confirm their plans are configured correctly and have projects launched for the Tasks that are linked to the Event Configuration. 

If the Plan Counts are off, the user should check the following coincide with the Event Configurations for the Event:

  • Plan Type
  • Services Provided
  • Safe Harbor Status for Plan Cycle Period matching the Event Period
  • The plan is not deactivated
  • The plan’s Effective Date does not occur after the Event Period

Users can click the Remaining and Complete Counts to drilldown and view tagged projects to make sure the appropriate projects are launched and/or tagged to be included in the Event. If the Project Task Counts are off the user can use the Remaining and Completed Counts to confirm the following:

  • The appropriate Projects were launched for the plans included in the Event
  • The appropriate Project Tasks are linked to the Event
  • Projects are launched for the same period as the Event
  • Project Tasks linked to an Event are not for plans that are not applicable to the Event

However, there may be anomalies where these do not match up perfectly. This is a good way to determine that all projects have been launched for applicable plans in the Event. There could be situations where these counts do not match due to an anomaly such as the Safe Harbor status for a plan being unknown for an ADP/ACP testing Event. In this case it may be appropriate to enter a Note for this Event to make this immediately viewable and referenced by other users. Again, these counts are a way for users to verify the all the planned work for these Events is accounted for so the user can know exactly where they are in the process of completing the planned work for the Event.

 

Using the Drilldown Feature:

Users can use the Drilldown feature for these counts by clicking on the Count box. Clicking on a Count box will open the Events Drilldown tab for that count where the specific plans or Tasks contained in the count are displayed. 

While in the Events Drilldown tab, users can click the Export button to export the plans or Tasks within the count to an excel file. 

Users can also use the Group, Sort and Filter buttons to help organize their results.

 

Reassign Remaining Tasks:

Clicking on the Remaining Count box, the user can reassign remaining Tasks to other employees.

To Reassign Tasks:

  1. On the Events tab, click on the Remaining Count box. the Events Drilldown menu will appear.
  2. Click once on a Task to highlight it.
  3. Click the Reassign Task button from the top-right of the grid. A Reassign Task Pop-Up will appear.
  4. Click the Reassign To dropdown menu and select an Employee.
  5. Click Save.
